Sample Vacation Email Scripts

Unless you want people to think you’re in the office (when you’re actually on the beach sipping Pina Coladas) it’s a good idea to set up a vacation email “Auto-Response” for incoming emails while you’re gone. When you setup an email Auto-Response, whoever emails you at work will automatically receive an email back letting that person know that you’re out of the office and what to do in your absence to get a response (or, in other words, “go bother someone else for an answer because shuffleboard starts in 20 minutes on the Lido Deck, and I’ll be damned if I miss me some shuffleboard to answer your email!). Sample Vacation Email #1

“ I’m currently out of the office from Monday, September 20th, to Friday, September 24th, with no access to email. If you need to reach someone immediately, please email my colleague, Amy White, at AWhite@company.com. I will be sure to follow up with you when I return. Thank you. “

Sample Vacation Email #2 

“ I’m currently traveling for business from Monday, September 20th, to Wednesday, September 22nd, with periodic access to email. I will respond to message as soon as possible. If you need immediate assistance, you can reach me on my cell phone at 917-249-XXXX. Thank you. “

Sample Vacation Email #3

“ I’m currently out of the office today, Monday, September 20th, for a personal matter and will not have access to email. If you need immediate assistance, please contact my colleague, Amy White, at AWhite@company.com or 212.XXX.5532. I will be sure to follow up with you when I return on Tuesday, September 21st. Thank you. “

How to Setup Your Vacation Email Auto-Response

1) Open your Microsoft Outlook mailbox and go to:
2) “Tools” on the Menu Bar, and then “Out of Office Assistant”
3) Highlight the box that says “I’m Currently Out of the Office”, and then fill out your auto-reply text
